The Boston, MA, office of Epstein Becker & Green, P.C., seeks an experienced litigation Legal Secretary to support attorneys in its Commercial Litigation and Employment, Labor & Workforce Management practice areas.
The Legal Secretary will perform a variety of administrative tasks which include providing a high level of customer service and support, while consistently producing an excellent work product. The Legal Secretary maintains general knowledge of the Firm’s practice groups and a specialized knowledge of the assigned attorneys’ practice area(s) and clients to ensure extraordinary client satisfaction. Knowledge of employment and labor law is a plus.
Primary Responsibilities
- Compose, prepare, revise and finalize written legal documents and correspondence as directed by the attorney. May include pleadings, motions or complaints/answers. Knowledge of Styles/DocXtools a plus
- Format documents as appropriate for each court i.e. state and federal including e-filings. Experience with PACER and other systems required
- Schedule depositions, site inspections, hearings and meetings for attorneys
- Assist with the preparation of motions and responses to discovery demands. May include pulling relevant documents, proofreading and organization of exhibits
- Assist with trial preparation as needed
- Generate client conflict checks and complete new business matter forms. Assist attorneys with conflict resolution and creation of conflict waivers and client engagement letters. Set up and maintain timekeeper’s work files, including daily and regular filing. Index and prepare files for off-site storage utilizing LegalKey software
- Process reimbursements and invoices in Chrome River, check requests and audit letters
- Handle monthly client billing. Review billing proformas for accuracy and completeness. Perform client, matter and timekeeper inquiries, and narrative edits. Maintain and regularly update Boston billing spreadsheet regarding specific client rates and discounts
- Input, review, edit, and finalize timekeepers’ time entries through Intapp
- Manage the day-to-day schedules of the attorneys. This includes regular meetings to discuss priorities and deadlines
- Maintain calendars including appointments, meetings, travel and trip plans, CLE reporting, and professional memberships for attorneys. Prepare and coordinate travel arrangements for attorneys
- File and maintain electronic documents and attorney emails in FileSite
- Create and edit PowerPoint presentations for attorneys to use in client meetings and speaking engagements at conferences
- Prepare and maintain spreadsheets in Excel and databases for legal files and initiatives
Computer Skills
- Must be proficient in Microsoft Office Products (Excel, Outlook, PowerPoint, Word)
- Experience with Nuance and DocXTools is preferred
- Must be able to prepare Table of Contents and Table of Authorities and have strong knowledge of word processing
Other Skills and Abilities
- Must possess the ability to handle confidential information
- Must be flexible with schedule including overtime as needed
- Must be highly organized and detailed oriented
- Must demonstrate self-motivation and ownership of assigned work, prioritizing and managing numerous initiatives and activities simultaneously under pressure.
- Must have good communication and customer service skills including the ability to communicate and provide customer services to clients, attorneys, and other staff
- Must be a team player in addition to working independently on projects as needed
Education and/or Experience
- Legal secretary certificate, associate’s degree or bachelor’s degree required
- 10+ years in similar litigation legal secretary position
- Law firm experience required
